The short version. AIVI answers phone calls for local businesses. To do that we handle what callers say on the phone and the contact details they give. We do not sell that information, and we do not use it to advertise anything to anyone.
On text messages: no mobile information is ever sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Phone numbers collected for SMS are never shared for marketing.
Who we are
AIVI is a service operated by AIVI LLC, a limited liability company based in Sanford, Florida, United States. In this policy "we", "us" and "AIVI" mean AIVI LLC.
Questions about this policy or about your information: hello@aiviassist.com or (716) 604-7557.
Two kinds of people, two kinds of information
AIVI sits between two groups, and it matters which one you are.
If you are a business that uses AIVI
You are our customer. We collect the information you give us to set up and run your service.
If you called a business that uses AIVI
You are a caller. We handle your information on behalf of that business, so that they can return your call and do the work you asked for. That business decides how long it keeps your details and how it contacts you afterwards. If you want your information removed, the fastest route is to contact the business you called; you can also contact us and we will pass the request on.
What we collect
| Information | Why |
|---|---|
| Caller's name, phone number, service address and description of the job | So the business can call you back, quote the work, and turn up at the right place |
| Call audio recordings and written transcripts | So the business owner can check what was said and what was promised |
| Appointment date, time and status | To book the job and send confirmations |
| Business account details — name, email, phone, business address, service details, hours, prices you publish | To build and run your receptionist, bill you, and support you |
| Website form submissions | To answer enquiries you send us |
| Basic technical logs — IP address, browser type, pages viewed | To keep the site working and secure |
We do not ask for and do not want payment card numbers, Social Security numbers, health information, or government identification. Please do not read those out on a call.
Text messages
This section describes our SMS practices. It applies to both callers and business owners.
How consent is obtained
- Callers. Consent is given verbally during a call that you placed. Before the call ends, AIVI tells you a confirmation text will be sent to the number you are calling from and asks you to confirm. That call is recorded and transcribed, and the consent is kept in the transcript.
- Business owners. You consent when you sign up for AIVI and give us your mobile number for alerts.
We never buy, rent, scrape or import phone numbers from third-party lists.
What we send
- To callers: a confirmation of the appointment, including the business name, the date and time, and the address.
- To business owners: an alert for each call with the caller's details and what they need.
These are transactional messages tied to a specific call. We do not send marketing or promotional texts on this service.
Frequency, cost and stopping
- Message frequency varies and depends on call activity. In practice this is normally one message per call.
- Message and data rates may apply. Your mobile carrier, not AIVI, sets those.
- Reply STOP to any message to stop receiving them. Reply HELP for help, or contact hello@aiviassist.com.
- Carriers are not liable for delayed or undelivered messages.
Sharing of mobile information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Phone numbers are shared only with the service providers listed below that are needed to deliver the message, and with the business you called.
How we use information
- To answer calls, capture the details and book appointments
- To send the confirmations and alerts described above
- To show the business owner their calls, recordings and transcripts in their dashboard
- To support, bill and communicate with our business customers
- To keep the service secure and to comply with the law
We do not sell personal information. We do not share it with advertisers. We do not use call recordings or transcripts to train any artificial intelligence model for our own purposes or anyone else's.
Who we share information with
Only the providers that make the service work, and only what they need:
| Provider | Purpose |
|---|---|
| Telephone and messaging carriers | Carrying the calls and delivering the texts |
| Voice and language model providers | Understanding speech and generating the reply on the call |
| Hosting and email providers | Running the website, dashboard and email |
| Calendar and scheduling providers | Booking appointments, where the business uses that feature |
| Payment processor | Taking subscription payments from business customers |
We may also disclose information where the law requires it, to protect our rights or someone's safety, or in connection with a sale or reorganisation of the business — in which case this policy continues to apply to the information transferred.
How long we keep it
Call recordings, transcripts and caller details are kept for as long as the business we handle calls for keeps its account with us, unless that business asks us to delete them sooner. Business account records are kept while the account is open and for a reasonable period afterwards for tax and legal reasons. Business customers can export or delete their call data at any time.
Your choices
- Stop texts: reply STOP.
- Ask what we hold about you, or ask us to delete it: email hello@aiviassist.com. If you were a caller, tell us the business you called and roughly when, so we can find the record.
- Business customers: export or delete your data from your dashboard, or ask us.
Depending on where you live you may have additional rights over your personal information, including the right to access, correct or delete it. We honour those requests regardless of where you live.
Call recording
Calls answered by AIVI are recorded and transcribed. Businesses using AIVI are responsible for meeting the call-recording notice requirements that apply where they and their callers are located. AIVI can be configured to announce that a call is recorded; ask us and we will set it up.
Security
We use reputable providers, restrict who can reach customer data, and use encrypted connections. No service can promise perfect security, and we will not pretend otherwise. If a breach affects your information we will tell you as required by law.
Children
AIVI is a service for businesses and is not directed at children. We do not knowingly collect information from anyone under 13.
Changes
If we change this policy we will update the date at the top of this page. Material changes affecting business customers will be sent by email.
